How to work with the global search and filter

Introduction

ISOPlanner comes with an advanced search feature that let’s you find almost anything in the app. Just type in some letters, words or phrases and ISOPlanner will show the most relevant search results.

Right next to the search feature, there is a filter to select one or more standards. When standards are selected, views that support filtering on standards are automatically filtered. For example, when you select ISO 27001, the requirements, assets, risks, controls and the library are automatically filtered. This way, you can switch to another standard more quickly.

Click in the search bar at the top of the screen or use CTRL+/ to start typing.

Before searching

Before you start to type, the search bar shows you the latest searches (5) and a list of recently modified items (same as on your dashboard).

Note that the recent items are now directly available from anywhere in the app without going to your dashboard.

You can either:

  1. Select a recent search
  2. Select a recent item
  3. Start typing

 

When you select a recent search, you immediately start the search. When you click on a recent item, you navigate to that item.

  1. When the item is a task, that task is shown on top of the current view.
  2. When the item is a SharePoint item, a new tab opens with the selected item
  3. When the item is library content in a preview package or you have enabled the setting that SharePoint items must be opened in a preview window, the item is shown on top of the current view.

 

Search results

After typing, a progress indicator is shown until the results are received.

In the example below, we’ve search on the term ‘organization’.

It can take up to 2 minutes before the search index is completely updated (in most cases). This means that any new or changed items can be found after this period.

A search result contains:

  1. Small indication of the type of result and the unique code (if any).
  2. In blue, the title of the item. This is also link a to navigate to the item but you can click anywhere on the item to navigate.
  3. A snippet of text from the extracted result with yellow highlighting of what you typed.
  4. A link to a related SharePoint item (if any)

 

At the top of the result list you’ll find filters to narrow down your search.

  1. Category. Choose 1 category to only find items of that category. E.g. Risks, Controls or Assets.
  2. Standards. Choose 1 or more standards to show items that relate to these standards. Only standards shown that actually are included in the result.
  3. Tags. Choose 1 or more tags to show items that have these tags. Only tags are shown that actually are included in the result.

 

Click on an item to navigate to that item.

  1. For example, when you click on a Risk or Asset, you’re navigated to that item. You can quickly click in the search bar again to select another item.
  2. When the item is a task, the task is shown on top of the current view.
  3. When the item is a SharePoint item, a new tab opens with the selected item
  4. When the item is library content in a preview package or you have enabled the setting that SharePoint items must be opened in a preview window, the item is shown on top of the current view.

 

Click in the Back button to cancel the search. This is the small arrow on the left of where you typed your search. When you click once when search results are shown, the search is cleared. When you click again, the search window is closed.

Keyboard access

  1. To start search use: CTRL + /
  2. To go from the search input to search result, press TAB
  3. To access the filters from the results, press SHIFT + TAB
  4. To go to another item in the results, press ARROW UP/DOWN
  5. To navigate to an item, press ENTER
  6. To cancel search, press ESC

 

SharePoint results

At the bottom of the result list you’ll find a checkbox to enabled/disable results found in SharePoint. When this checkbox is not displayed, a message or link is displayed indicating that SharePoint search is not enabled yet. An administrator needs to give permissions to allow ISOPlanner to search in SharePoint (on your behalf).

Click here to navigate to the integration settings and enable SharePoint Search (recommended).

Note that enabling SharePoint results can greatly enhance the search experience because many items in ISOPlanner relate to SharePoint items like policies and procedures. ISOPlanner needs read access to sites and files on behalf of the user. This guarantees that only results are retrieved from SharePoint that the user is allowed to see. Search queries and results are never stored in ISOPlanner and remain in your local browser history and your Microsoft tenant.

After enabling SharePoint search, results are enhanced by:

  1. Retrieving full-text search results.
  2. Combining search results by showing a link to a relevant document and boosting rank.

In the example above, you’ll see that we searched on the term ‘organization’ and the Asset ‘Cloud Suppliers’ was found based on the content of the related document ‘HR – Screening’. When SharePoint search was disabled, this result would not be found.

 

Global filter

Right next to the search feature, there is a filter to select one or more standards. When standards are selected, views that support filtering on standards are automatically filtered. For example, when you select ISO 9001, the requirements, assets, risks, controls and the library are automatically filtered. This way, you can switch to another standard more quickly.

Views in the Organization menu (Processes, Objectives, KPIs and Forms) are not automatically filtered by the global filter for standards. These views do not have a direct relationship with standards.

When the global filter is enabled, you’ll see a small visual indication that it is enabled. Click on it again and select Clear to clear it. When it is enabled and the view where you are support filtering on standards, this filter is locked with the global filter settings.
