Tutorial 3: Use an Approval template to send approvals
Note that all tutorials show the new Power Automate designer in the screenshots
In this tutorial, we’ll show you how to use a workflow template to implement an approval workflow using Microsoft Teams. If you don’t have any experience with Power Automate, we suggest that you follow Tutorial 1 first.
1. First, create an approval template. Give the template the name Approval {name}. Replace {name} with the purpose or group. Go to the template section in ISOPlanner, click Add and select Approval template. Optionally, select people who should approve. Click Save to create the template.
- If you have fixed approvers for your purpose, select the approvers and de-select The user may modify the approvers.
- If you have dynamic approvers, select default approvers (or none) and leave the option The user may modify the approvers checked.

An approval template automatically has been linked to the form Approval. The Approval Comment field on this form will be filled with the comment that approvers enter in the Approvals App (Microsoft Teams). Adding more fields to this form is possible but the Approvals App does not support more fields. If you need this, you can create a workflow that also sends a link to the approval task to the user who should fill in the form.
2. Now log into Power Automate and go to the menu Templates and search for isoplanner approve.

3. Click on the template and connect to ISOPlanner, SharePoint and Approvals. Click Continue.

4. The workflow is created in your tenant. Next, configure the steps in the workflow according to the table below.

5. Click Save. Edit your approval template in ISOPlanner and go to tab Workflows to see that your workflow has been linked to the template.

6. Test the template. Go to the ISOPlanner Library, select a SharePoint page or file, click the Approvals button and select the template you created. Click Save and Send.

7. The workflow has been started. In the library in ISOPlanner you can see the current status. In the column Lastest Approval, the status, date and appovers are shown. Hover with your mouse above it to see more details, including the status per approver and which template has been applied.

8. The approvers have been notified by the Approvals App (Microsoft Teams). Within Microsoft Teams, go the menu Activity and select the new approval request. The approvers can Approve / Reject and leave Comments.

After approval, the status in ISOPlanner is updated.
